The Director of Finance and Accounting (DFA) is responsible for oversight of all finance, accounting, payroll, and reporting activities. As a member of the senior management team, the Director of Finance and Accounting  prepares presentations to the Board Finance Committee. The DFA leads all day-to-day finance and accounting operations and supervises the Accounting team. The DFA ensures that Westside has the financial systems and procedures in place to support organizational goals and objectives and works closely with managers and their staff to educate them regarding finance and accounting procedures and to explore how the finance function can support program operations.

Core Responsibilities of the Director of Finance and Accounting

  1. Supervise the Accounting and Finance team
  2. Develop and plan department objectives with the CFO and staff including short- and long-range accounting programs in budgeting, profit analysis, accounting systems, financial reporting, and internal auditing
  3. Develop and implement policies and procedures to maintain strong internal controls and ensure compliance with regulatory agencies
  4. Work with CFO to develop and prepare financial statements (including balance sheets and profit/loss statements) as well as variance analysis, ratios, income/expense, and investment analysis, e.g., effects of fee changes on costs and profits, return on investment
  5. Oversee the annual financial audit and any special financial audits
  6. Direct the preparation of statistical information and reports for management, government, and other agencies
  7. Prepare monthly, quarterly, and annual reporting for management and the Board of Directors
  8. Develop and maintain grants management process to ensure accurate financial reporting

Requirements

  • Bachelor’s degree in finance or accounting
  • Five years of accounting experience
  • Previous experience in all aspects of grant management and fund development
  • Prior experience working for a non-profit organization

1. Greet patients when they sign in and monitor arrival time.

2. Set up treatment rooms for procedures.

3. Escort patients to the treatment room.

4. Seat patients in treatment rooms.

5. Show care and concern, and help patients feel comfortable.

6. Obtain and review health histories according to office protocol.

7. Ensure patients are always attended.

8. Anticipate and assist dentist’s needs.

9. Perform expanded functions and other tasks as assigned by the dentist.

10. Mix dental materials.

11. Ensure patients’ questions are answered thoroughly before they leave.

12. Chart patients and record date, service rendered and any charges.

13. Escort patients from the treatment room.

14. Ensure proper treatment notes are recorded in the patient’s chart.

15. Perform clinical procedures as practice act allows and as directed by dentist.

1. Keep dental units ready, stocked, and clean.

2. Oversee cleanliness of the treatment room according to sterilization procedures

4. Sterilize all instruments and handpieces according to the company’s protocol.

5. Keep trays, instruments and treatment room drawers organized.

6. Ensure that the office sterilization procedures document is on display.

7. Promptly send out and monitor all dental laboratory cases.

RECORDS MANAGEMENT

1. Securely store and handle patient records in compliance with state and federal requirements, including the HIPAA privacy and security regulations.

2. Arrange patient charts and radiographs for the next day’s appointments.

3. Ensure that treatment rooms are always stocked.

OFFICE PARTICIPATION

1. Help in other areas of the office when necessary (i.e., answering phones, unpacking supplies, completing insurance forms, moving former patient records, etc.)

2. Be an active participant in team meetings.

3. Promote team concept by interacting with others in the office.

  4. Advise or instruct patients and clinical staff regarding preventive dental care, the causes and treatment of dental problems, or oral health care services.

  6. Plan, organize, or maintain dental health programs, including participating in WFH quality improvement programs and contributing to the development of the dental portion of the annual Health Care Plan.
  7. Implement dental department policies, protocols, and procedures in compliance with the most current, accepted professional standards, including those of The Joint Commission.
  8. Assist in the supervision and performance evaluation of dental staff according to established guidelines, as assigned.

  9. Design, make, or fit prosthodontic appliances, such as space maintainers, bridges, or dentures, or write fabrication instructions or prescriptions for denturists or dental technicians.
  10. Plan, organize, or maintain dental health programs, including participating in WFH quality improvement programs and contributing to the development of the dental portion of the annual Health Care Plan.
  11. Implement dental department policies, protocols, and procedures in compliance with the most current, accepted professional standards, including those of The Joint Commission.
  12. Coordinate operations of the dental program with other community health center projects and clinical staff members.

Responsibilities of the Dental Patient Services Representative

  1. Greet all patients
  2. Distribute “New Patient” and “Health History” forms to new patients and assist with completion if needed
  3. Use two identifiers, name and date of birth, to verify patient identity
  4. Register and update current information in Dentrix, with proper spelling and verified information
  5. Verify patient’s insurance eligibility with the insurance carrier
  6. Collect co-pays and enter payment into Dentrix and provide payer with a receipt at time of transaction
  7. Tie out daily payments received between Daily Deposit Sheet and payments in drawer
  8. Diligently manage schedule, adhering to the providers’ templates
  9. Contact referrals to setup appointments
  10. Assist in resolving any scheduling problems or rescheduling patients when needed

RESPONSIBILITIES:

Provide primary medical care to patients, including collecting and recording patient information in the EMR in a thorough and timely manner; prescribing or administering treatment; ordering, performing, and interpreting tests and analyzing records, reports, and examination information to diagnose patients' conditions; monitoring patients' conditions and progress and reevaluating treatments as necessary; explaining procedures and discussing test results or prescribed treatments with patients; advising patients concerning diet, activity, hygiene, and disease prevention; referring patients to medical specialists or other practitioners when necessary; and participating in hospital admission and follow-up of patients, making arrangement for services as needed

  8. Participate in activities to increase appropriate utilization of available services by patients of Westside Family Healthcare, Inc.
  9. Participate in staff education and professional development activities, including continuing education credit requirements to maintain licensure and Basic Life Support certification
  10. Participate in WFH performance improvement programs and in community education and outreach programs offered by Westside

Requirements

MINIMUM OBJECTIVE QUALIFICATIONS

  1. Graduate of an accredited school of medicine

RESPONSIBILITIES OF THE MOBILE HEALTH NURSE  

  1. Engage in outreach initiatives as directed by the Associate Director of Migrant/Seasonal Agricultural Workers (MSAW) Program. This includes building relationships with farm owners, managers and crew leaders in order to connect with migrant and seasonal agricultural workers with clinical services. 
  2. Maintain the MHU in accordance with Joint Commission standards, including stocking and maintenance of diagnostic equipment, supplies and medications needed for patient care. Perform and document daily completion of QC logs and maintain POCT before beginning patient care 
  3. Assist providers and medical assistants with patient care, e.g., take vital signs, perform EKGs, collect specimens, irrigate ears, dress wounds, splint and tape injuries, perform selected diagnostic tests, and assist with pap smears, physical exams, and minor procedures when necessary 
  4. Oversee clinical care on the MHU to ensure culturally competent, high quality, evidenced-based care in accordance with Westside’s standards, policies, and procedures 
  5. Work with the Nurse Supervisor and Clinical Floor Supervisor to complete the weekly staffing schedule for the MHU, monitor attendance and adequately communicate all last-minute schedule changes to all affected personnel 
  6. Proactively and continuously reviews patient medical records to identify any care needs requiring intervention 
  7. Educates patient/family about medical conditions (existing or newly diagnosed) to assist them in appropriate self-management  
  8. Attend community meetings and participate in community events/fairs to support the care for patient’s we partner with 
  9. Maintains compliance with all professional and organization requirements to meet the positions standards 
  10. Work with Associate Director of MSAW and MSAW supervisor on initiatives to grow mobile health from seasonal, to year round
  11. Lead team outings and outreach during nurse led health screening events 

Requirements

Minimum Objective Qualifications

  1. State of Delaware (or compact state) Registered Nurse licensure with no restrictions or disciplinary action 
  2. Minimum of 2 years’ experience in the area of ambulatory care or comparable 
  3. Current certification in Basic Life Support for Healthcare Providers 
  4. Ambulatory Care Certification or commit to obtaining upon hire 
  5. Fluency in written and spoken English and spoken Spanish, including knowledge of medical terminology 
  6. Become trained in phlebotomy within six months of hire 
  7. At least six months of experience with electronic medical record software

During the harvesting season, the Community Health Worker travels to farms, labor camps and other housing locations within Kent and Sussex Counties to address the health and social service needs of the migratory and seasonal agricultural workers, act as a liaison between them and social services agencies, and participate in health fairs as a lay health educator.  

Outside of the harvesting season, the Community Health Worker works on projects related to the MSAW population and others in the community. This will include travel to community service centers to address health and social service needs in the community to connect them with Westside services.

Responsibility of the Community Health Worker - MSAW Program

  1. Maintain relationships with managers and crew leaders to gain access to migratory and seasonal agricultural workers and update crew. 
  2. Travel to farms weekly to provide social service resources, health education, enabling services and follow-up to migratory and seasonal agricultural workers. 
  3. Greet all agricultural workers and their family members in a friendly, courteous, helpful, and professional manner. 
  4. Register all migratory and seasonal agricultural workers in the electronic medical system, update current patient demographic and insurance information and document all services via Social Services Encounters. 
  5. Evaluate financial circumstances and place patients on appropriate sliding fee scale.
  6. Collect payments and co-payments from patients, reconcile daily charges and payments according to route slips. 
  7. Utilize designated assessment tool for assessing the overall health and social service needs of agricultural workers and their family members.
  8. Assist all migratory and seasonal agricultural workers who need help with completing any necessary paperwork.
  9. Develop, organize, translate, and produce culturally sensitive and competent health education materials needed for agricultural worker outreach and educational events geared towards the targeted population and participate in health education activities. 
  10. Attend community meetings and participate in community events/fairs. 
  11. Assist with finding outreach events and identifying farms that need services.
  12. Provide transportation for patients and/or supplies as appropriate. 
  13. Utilize EMR to assist patients with scheduling dental visits and office visits as needed. 
  14. Refer uninsured patients to enrollment services for assistance. 
  15. Assist with scheduled Maintenance/cleaning of rental vehicle.
  16. In the offseason, assist with MSAW (Migrant and Seasonal Agricultural Worker) related projects as directed by MSAW supervisor and Associate Director. 
  17. In the offseason, serve as liaison to assist patients with in-office health services. 
  18. During offseason, participate in outreach and clinical events of non-MSAW populations as directed by MSAW supervisor and Associate Director. 

Requirements

Minimum Objective Qualifications

  1. High school diploma or GED
  2. Two years of related experience, such as community services, the healthcare environment or social services work
  3. Fluency in written and spoken English and Spanish, or English and another language spoken by migratory and seasonal agricultural workers working in Delaware.

CORE RESPONSIBILITIES

  1. Counsel and educate pregnant and breastfeeding women by telephone, at Westside Family Healthcare, or through other available means
  2. Receive a caseload of WIC pregnant and breastfeeding clients on a monthly basis and make routine periodic contacts with all clients assigned
  3. Provide education, support and encouragement to pregnant and breastfeeding mothers
  4. Give basic breastfeeding information and support to new mothers
  5. Relay breastfeeding information to WIC pregnant and breastfeeding women
  6. Remain current on breastfeeding information
  7. Refer mothers according to clinic-established protocols
  8. Contact WIC-program pregnant and breastfeeding mothers on a regular basis
  9. Keep the lactation room neat and clean, appropriately stocks and maintains breastfeeding supplies and equipment
  10. Report monthly Daily Activity Logs, and Quarterly Activity Logs to WIC
  11. Organize and plan monthly education session for pregnant women and mothers focusing on breastfeeding and parenting skills

Requirements

MINIMUM OBJECTIVE QUALIFICATIONS:

  1. High school diploma or GED required. College courses, or degree in health related or education related field a plus
  2. Six months of experience using computers and Microsoft Office software
  3. At least 12 months of breastfeeding experience
  4. WIC-eligible-Must complete WIC Breastfeeding Counselor course after hire.
  5. Six months of experience in community services, counseling, teaching, healthcare or social services
  6. Fluency in written and spoken English and spoken Spanish preferred.

Westside Family Healthcare is a nonprofit organization that provides high quality primary medical care without regard to ability to pay. At Westside Family Healthcare, the Community Health Worker is a core member of the collaborative care team who provides social service case management directly in the communities through outreach to specific target populations. The Community Health Worker will be responsible for identifying social, emotional, environmental, financial, and other support needs for community members and established patients while connecting them with appropriate services and community resources. This position will work closely with our multidisciplinary teams and community partners to identify areas of need and resources with the goal of improving patients’ health care and outcomes.

CORE RESPONSIBILITIES

  1. Traveling between offices and communities in Delaware to conduct home visits, meetings, and outreach events in the community with individuals and established patients to provide case management by completing screenings and needs assessment, identifying social needs, developing effective service plans, collaborating with internal/external healthcare systems, coordinating care and connecting to appropriate internal and/or external community resources.
  2. Assist individuals and families in the community in accessing health and psycho-social related services, including but not limited to: obtaining a medical home, providing instructions on appropriate use of the medical home, overcoming barriers to obtaining needed medical care, behavioral health and social services while reducing cultural and socio-economic barriers between clients and institutions
  3. Facilitate community outreach and public education by participating in community events and conducting presentations in the community as needed.
  4. Coach community members and established patients in effective management of their chronic health conditions, self-care strategies, and motivate patients to be active, engaged participants in their health care.
  5. Maintain accurate and timely documentation.

Requirements

MINIMUM OBJECTIVE QUALIFICATIONS

  1. High School Diploma or General Equivalency Diploma (G.E.D.)
  2. Fluency in written and spoken English and Spanish and/or Haitian Creole
  3. Related work or volunteer experience providing services to a culturally diverse populations
  4. Verifiable good driving record and reliable transportation
  5. Ability to travel independently between offices and communities throughout Delaware as needed
  6. Ability to perform duties directly in the communities as needed (up to 90% of the schedule will be required to work in communities throughout Delaware)
  7. Ability to work evenings and weekends as needed
  8. Experience using computers and Microsoft Office software
